What should an appointment reminder text say?
An appointment reminder text should say who it is from, give the day and time, and ask for one short reply: C to confirm or R to reschedule. Send the first one early enough that a change still falls inside your cancellation policy, often 48 hours ahead. Keep it to one 160-character segment with straight punctuation, and put opt-out wording on the first text. Never ask clients to reply CANCEL.
The 160 and 153 character GSM-7 limits, the 70 and 67 character UCS-2 limits, and the curly-quote problem are from Twilio's SMS character limit glossary. CANCEL is one of Twilio's default opt-out keywords on long code numbers, per its Advanced Opt-Out page. Both were checked on 27 October 2026. The writing rules follow our appointment reminder templates guide. Counts use long sample names, so your real count is usually lower.
Your reminders
Clients may not have saved your number, so the text says who it is from. Leave it blank to keep a placeholder.
GSM-7148 / 160 · 1 segment
Counted with long sample details filled in (a 9-letter name, Wednesday, 10:30am). As written, with the brackets: 147 characters, 1 segment. 12 left in this segment.
GSM-7133 / 160 · 1 segment
Counted with long sample details filled in (a 9-letter name, Wednesday, 10:30am). As written, with the brackets: 134 characters, 1 segment. 27 left in this segment.
Email version
Subject: Your appointment at [Business name] on [Day]
Hi [Client], This is a reminder that you're booked with [Stylist] for [Service] on [Day], [Date] at [Time], at [Address]. Parking: [Parking note]. To confirm, reply C to our text. To change the time, reply R or use [Reschedule link]. We look forward to seeing you. [Business name] [Phone]
Email has room for parking, what to bring and the full policy, but clients rarely reply to it. Send it alongside a text, not instead of one.
How to handle the replies
A reply means the reminder did its job. Answer from the calendar, while the client still has the thread open, and record the outcome in your booking system as well as in the text app.
C: confirmed
Mark it confirmed in the booking system itself, not only in the text thread. The desk can then start the day by calling the people who have not confirmed.
Thanks [Client], see you [Day].
R: needs a new time
Reply with two real openings from the calendar, with the same person where you can, rather than asking the client to call. Free the original slot as soon as they say they can't come, before the new time is agreed, so there is longer to fill it.
No problem. We have [Day] at [Time 1] or [Time 2] with [Stylist]. Which suits you? Or name a day and we'll look.
A question
Answer facts like hours, address and parking straight away. Anything that changes the booking, such as an add-on that needs more time, needs a calendar check first. Send complaints, refunds and clinical questions to a person with the thread attached.
Running late
Decide from your grace period and the gap after this booking, using the same rule every time. If there is room, say so. If not, offer a shorter service or the next opening, and let the client choose.
Thanks for the heads-up. Getting here at [ETA] leaves time for [Shorter option], or we can move you to [Next opening]. Which would you like?
STOP, or any other opt-out word
Treat it as final for that number. Send one confirmation at most, then make sure the reminder tool in your booking system knows as well as the app that got the reply. Keep the appointment on the book and flag it for the desk, because the client may still come.
Never use CANCEL as a reply keyword
Twilio lists CANCEL among the default opt-out words on its long code numbers, alongside STOP, UNSUBSCRIBE, END, QUIT, STOPALL, REVOKE, OPTOUT, matched in any case. A client who follows “reply CANCEL to cancel” may be unsubscribed from every text you send, next month's reminder included. Other providers set their own lists, so check yours. Route cancellations through the reschedule reply, which also gives you a chance to offer a new time.

How the character count works
Texts written only in the GSM-7 alphabet fit 160 characters in one segment, or 153 per segment once a message splits. One character outside that alphabet, such as a curly apostrophe from a word processor or a phone's smart punctuation, or any emoji, switches the whole text to UCS-2: 70 characters in one segment, 67 per segment after that. Under the GSM 03.38 standard, a few symbols such as € and square brackets take two places each. Twilio recommends staying under 320 characters; a reminder should fit in one segment.

Before you send the first one
- Fill the brackets with your longest real names and paste the result into your provider's own counter.
- Collect numbers with a clear purpose: clients should know they will get texts about their appointments.
- Keep offers out of reminders. A promotion turns an informational text into a marketing one, which needs stricter consent.
- If two tools text from your number, both need to know who opted out.
This is not legal advice. Check consent rules with your messaging provider.
How to write an appointment reminder text
01
Choose the business and send times
Pick your kind of business and when each reminder goes out. If you have a cancellation policy, turn on the policy line and enter its notice period; the tool warns when the first text lands too late.
02
Set the replies and tone
Choose the confirm and reschedule keywords, keep the opt-out line on the first text, and pick warm or brief. Unsafe keywords such as CANCEL or STOP are refused.
03
Check the count and copy
Edit the text if you like and watch the GSM-7 or UCS-2 count and segments update. Straighten any curly quotes, then copy the texts and the email into your booking or texting tool.
Common questions
How long should an appointment reminder text be?
One segment: 160 characters if every character is in the GSM-7 alphabet, or 70 if any one is not. Fill the brackets with your longest real client, staff and business names before you count, because those are what push a reminder into a second segment.
Why does one apostrophe change my character limit?
A curly apostrophe or quotation mark is not in the GSM-7 alphabet, so one of them switches the whole text to UCS-2, which fits 70 characters per segment instead of 160. Phones and word processors add curly ones automatically. Use the straighten button to swap them for plain ones.
Why shouldn't clients reply CANCEL?
Twilio treats CANCEL as a default opt-out keyword on its long code numbers, along with STOP, END, QUIT and others, in any case. A client who replies CANCEL to cancel one visit may stop receiving every text from your number. Ask for R to reschedule instead and handle cancellations from there.
When should I send appointment reminders?
Work back from your cancellation policy. With a 24-hour policy, a reminder at exactly 24 hours arrives when a change is already late, so send the first one at 48 hours. A second text two hours before suits long or high-value appointments. Two reminders is enough for most bookings.
What can a dental or medical reminder text include?
Only what the patient needs to confirm the visit: the practice name, the day and time, and how to reply or call. These templates leave out the treatment, the reason for the visit, the specialist's title and any balance. Have your privacy officer or compliance adviser approve the final wording. This is not legal advice.
Does the reminder need opt-out wording?
Put opt-out wording such as Reply STOP to opt out on the first text a client gets from you, and honour it everywhere that texts from your number. Check the consent rules that apply to you with your messaging provider. This is not legal advice.
Does this tool send texts or store what I type?
No. The texts are built and counted in your browser. Nothing is sent to LLDTEK or to any texting service. Copy the result into your booking system or texting provider.
See it against your book
The reminder is the easy half. The replies are the rest.
LLDTEK's agents work beside the booking system you already use. When a client replies to a reminder in a thread the agent can see, it checks the live calendar and offers real openings, and hands complaints and clinical questions to your team. Which number sends your reminders decides where replies land, so bring a sample to a 30-minute demo and we will show you the path.
