How should a business reply to a Google review?

Reply to a Google review by name, briefly, and about what the reviewer actually wrote. Thank happy reviewers and pass praise on to the person they named. For a complaint, say sorry plainly for what was yours, keep booking, bill and health details out of the public thread, and give one business phone number or email to settle it. Never offer a discount, and never ask anyone to change or remove a review.

The rules come from Google Business Profile help: keep replies short, polite and relevant, address the reviewer by name, apologise when appropriate, never share private information, take complex issues offline, and avoid promotions. Google's review policy forbids offering incentives to change or remove a review. Clinic replies never confirm that the reviewer was a patient.

The review

Type of business
Star rating

Only the first name is used.

What the review mentions

Pick what the reviewer wrote about. For three stars or fewer, pick only what they complained about. The short reply uses the first one you pick.

Only if the reviewer named them. Used in happy replies, never in complaints.

Replies post under the business name. A first name and role show a person read it.

Where an unhappy reviewer can reach you

Used only for reviews of three stars or fewer.

This goes in a public reply, so use a business line or address, never a personal one.

Tone

Warm opens with a greeting. Brief leads with the reviewer's name and keeps fewer lines.

Short reply

Hi Maria, Thank you for the kind words. We'll make sure Jess sees this. – Ana, owner

Full reply

Read the reply once before you post it and add one detail only you know. Google checks replies before they appear and notifies the reviewer when yours goes up.

Six rules for review replies

These follow Google’s own tips for review replies. To get more reviews to reply to, make a review link and QR code with our Google review link generator.

Reply to what they said

Google suggests replying where you can add something, rather than posting the same thank-you on every review. Mention the one or two things the reviewer actually wrote about.

Take the details offline

Never repeat a reviewer's booking, bill, health or contact details in public. Give one business phone number or email and settle it there.

Never trade for a review

Google asks that replies are not promotional, and its policy forbids offering anything in exchange for changing or removing a review. Fix the problem first; whether they update the review is up to them.

Apologise for what was yours

Say sorry plainly when something went wrong on your side. Google's help also says not to take responsibility for things outside your control.

Sign it

Replies post under the business name, not yours. A first name and role at the end shows a person read the review.

Expect a short delay

Google checks replies against its content policies before posting them. It says this usually takes up to 10 minutes and can take up to 30 days. The reviewer is notified when the reply appears.

How to reply to a Google review

  1. 01

Pick the rating and what they mentioned

Choose your kind of business and the star rating, then pick what the reviewer wrote about, such as a team member, the wait or the price.

  2. 02

Add the names and a private route

Enter the reviewer's first name, your business name and a sign-off. For three stars or fewer, add the business phone number or email where you will settle the details.

  3. 03

    Edit, then post it

Copy the short or full reply, add one detail only you know, and post it from your Business Profile under Read reviews, then Reply.

Common questions

Should I reply to every Google review?

Reply where you can add something. Google's own tips suggest focusing on reviews where you can share an update or answer a question, rather than posting the same thank-you on every one. Every complaint deserves a reply, because other customers read how you handle it.

How do you respond to a negative Google review?

Thank them, say sorry plainly for what went wrong on your side, and give one business phone number or email to settle it privately. Do not argue, do not repeat their booking or bill details in public, and do not take responsibility for things outside your control. Then fix the problem; whether they update the review is up to them.

Can I offer a discount to a customer who left a bad review?

Not in exchange for changing or removing the review. Google's review policy treats incentives to post, change or remove reviews as fake content. You can still put things right privately, such as redoing a service, as long as it is not tied to the review.

What should a clinic or dental practice say in a review reply?

Keep it general. Thank the reviewer, say you take feedback seriously, and invite them to contact the practice directly. Do not confirm that they were a patient or mention any visit, treatment or date. Ask whoever handles your compliance before you reply to anything clinical.

Why doesn't my Google review reply show up yet?

Google checks replies against its content policies before posting them. Its help page says this usually takes up to 10 minutes but can take up to 30 days. If a reply is not approved, Google asks you to edit it.

Does this tool use AI or store what I type?

No. The replies are assembled in your browser from fixed sentences, so the same inputs always give the same reply. Nothing you type is sent to LLDTEK or Google or saved.

See it against your book

A call nobody answers can turn into a bad review.

LLDTEK's agents answer voice, SMS and web chat and book into the calendar you already use, and the reviews agent asks happy clients for a Google review once, after checkout. On a 30-minute demo we show it against your own calendar, and tell you plainly if your desk already handles it. Pricing is quoted after the demo.
